What we receive

When you contact or order through Telegram, we may receive your Telegram profile details, messages, drink choices, requested pickup or delivery time, delivery address where relevant, and payment-confirmation details.

How we use it

We use this information to respond, review and fulfil orders, resolve payment or service questions, and maintain order and conversation records. We do not ask for bank passwords or card details in Telegram.

Where it is kept

The operational database and attachment archive are kept on our encrypted external SSD. Order and conversation records are mirrored to a restricted Google Sheet, with verified backups in a private Google Drive folder. Authorised Oaks Oasis operators can view your conversation in our private owner inbox and reply. Telegram and Google process information under their own service terms; we do not claim these services store every copy only in Singapore.

Retention and cleanup

Our retention targets are: conversations and profiles for 12 calendar months after the last linked activity or order closure; optional attachments for 90 days after the relevant order closes; rolling operational backups for 35 days. Active orders, recent activity, disputes and narrowly scoped holds may extend these periods.

Automatic deletion across all copies is not yet enabled. Cleanup requires operator review, and we must separately confirm erasure from operational records and backups. We do not promise immediate deletion from Telegram or other provider copies.

Financial records follow applicable tax and business requirements, separately from routine chat retention. For companies, IRAS requires relevant business records to be kept for at least five years measured from the relevant Year of Assessment; accountant-confirmed expiry dates are required before removing those records. Your choices

You can ask about your information, request a correction, or raise a privacy concern by emailing enquiry@oaksoasis.org. We may need to retain some records for legitimate business or legal reasons.
